Best Practice - Daily Login Compliance Checks (Production Workers)
FollowFollow the below steps daily to ensure logging errors are identified
Proper Login Compliance in Spindle is the SINGLE MOST IMPORTANT item that you should focus on, to ensure that the data that is being collected is accurate. This guide will outline a key Daily Best Practice to use within SpindleLIVE.
Daily Checks
As a Best Practice, Supervisors should begin each day by verifying previous day’s Spindle data for accuracy. Below are the steps to perform Daily Login Compliance Checks using SpindleLIVE. Once this daily best practice process is mastered, it should take Supervisors no more than 10-15 minutes per day to perform these checks.
- Navigate to the Analysis Page by hovering over the side-bar option Production, and then selecting Analysis.
- From the Employee View, click on the Date Picker to select the appropriate range of dates.
- Select Yesterday to view data for all Employees that logged into Spindle yesterday.
- Select Apply to refresh the data.
- Each Column Header (shown below) can be sorted in descending or ascending order by clicking on the appropriate header (once for descending / twice for ascending).
- Click on the Work column header to sort in descending (hours highest to lowest).
- You are looking for employees that worked too many hours, most likely because they forgot to log out at the end of their shift.
- Leticia Doe (shown below) is an example of a potential logging error, since 17 hours far exceeds a typical work day.
- Coach this employee on proper login compliance and enter a Coaching Moment, if necessary.
- Click on the Work column header once more to view employee hours in ascending order (lowest to highest).
- Laurinda Doe (shown below) is an example of a potential logging error, since 5 and a half hours does not account for a full day.
- Coach this employee on proper login compliance and enter a Coaching Moment, if necessary.
- Perform the same sort for Break by clicking it to sort hours descending, and then again to sort in ascending (shown below).
- Ka Doe and Keisa Doe both exceeded their allotted break time for yesterday (shown below)
- Coach these employee on proper login compliance and enter a Coaching Moment, if necessary.
- Barry Doe, Kyung Doe and Maria Doe did not log into Break in Spindle yesterday (shown below)
- Coach these employee on proper login compliance and enter a Coaching Moment, if necessary.
- Perform the same sort for Lunch by clicking it to sort hours descending, and then again to sort in ascending (shown below).
- Melissa Doe logged a 56 minute lunch yesterday (shown below)
- Coach this employee on proper login compliance and enter a Coaching Moment, if necessary.
- Kyung Doe did not log into Lunch in Spindle yesterday (shown below)
- Coach this employee on proper login compliance and enter a Coaching Moment, if necessary.
- Next, sort by Productivity the same as the others. This will help identify employees that are potentially logging into the wrong job classification.
NOTE: Generally, any efficiency over 120% should be looked at for potential logging errors. If this is not due to a logging error, we recommend that you reevaluate the current standard(s) for the task(s) over 120%.
- Sort again for Productivity low to high by clicking it once more. This will identify employees potentially logging into the wrong job classification.
NOTE: Most often, this is due to them logging into the incorrect job classification, or not manually entering a piece count. Supervisors should investigate to determine the cause of the low efficiency and coach accordingly.
Further analyzing and Coaching Employees
As these daily checks are performed and logging errors are identified, Production Leaders should Coach employees on proper logging, that way the data is more accurate.
