Maintenance Scheduling Setup
FollowAssets
- Click on Maintenance from the side navigation bar.
- Click Admin
- Select your Facility
Importing Assets
- Click on the Import Assets
- Click on Download Import Template
- Open the Excel Template
- Click on Enable Editing
- Copy your Asset information into the respective fields
- Manufacturer (Required)
- Equipment Type (Required)
- Make/Model of Asset (Required)
- Model Number (Required)
- Serial Number (Required)
- Ext Asset ID
- Year
- Save the Excel Template to your computer
- Click Drop excel file or click to upload
- Click View Assets
- Confirm that all Assets were successfully imported
- Click the drop-down option to select the appropriate Spindle Login Equipment
- Select the appropriate Spindle Login Equipment to assign the respective Asset to
- NOTE: Submit a ticket to Spindle Support (support@spindlelive.com) if the appropriate Spindle Equipment is not listed in the drop-down list of options
Adding Assets Individually
- Click on the Add Asset icon on the right.
- Use the drop down or fill in the following information for all the assets at your facility.
- Manufacturer (Required)
- Equipment Type (Required)
- Make/Model of Asset (Required)
- Model Number (Required)
- Serial Number (Required)
- Ext Asset ID
- Year
- Spindle Login Equipment - use drop-down to select appropriate Spindle Equipment to assign the Asset to
- NOTE: Submit a ticket to Spindle Support (support@spindlelive.com) if the appropriate Spindle Equipment is not listed in the drop-down list of options
- Click on the BLUE Create icon
PM Instructions
Once you have added all of your facility Assets, you will need to add a Preventive Maintenance Instructions for each.
Two options are available, Corporate Standard and Facility Standard.
- Corporate Standards give companies the option to set up a Corporate Preventive Maintenance Library and distribute it across all facilities. With this feature, Spindle will not allow any changes to the Instructions, Frequency, or Target Time to the PM Instructions, unless managers have authorization.
- Facility Standards are set up at the individual facility and can include specialized machinery available only at that location.
Option 1 (Download from Corporate PM Instructions created):
- Select the PM Instructions tab
- Select the Corporate PMs view
- Click the Download icon for the respective PM Instructions
TIP: The Search option allows for quick access to Asset specific PM Instructions
NOTE: Repeat theses steps to download each PM Instruction that correlates to the Assets in your facility
Option 2 (Creation of PM Instructions at the Facility Level):
- Select the PM Instructions tab
- Select the Facility PMs view
- Select Add PM Instructions
- Enter the PM Details
- Name - Description
- Frequency - Daily, Weekly, Monthly, Quarterly, Semi-Annually, Annually, etc.
- Target (minutes) - amount of time it should take to complete the PM
- Corporate Standard? - A check mark will appear if the PM was downloaded from the Corporate Standards library
- Select the Edit icon
- Enter the Description details
- Click the Check Mark icon to save
- Enter the procedural steps. There are two ways to do this based on whether the operator needs to perform the PM and say its complete or the requirement for each procedural step to be checked of is required.
- Option 1 (1 step requirement to check that PM is complete)
- Click on the + sign next to Procedural Steps
- Option 1 (1 step requirement to check that PM is complete)
- Enter the Step Instruction requirements in the Instruction field
- Click the blue check mark icon to Save

- Option 2 (Each step is required to check that the PM step is complete)
- Click on the create steps icon next to Procedural Steps
- Option 2 (Each step is required to check that the PM step is complete)
- Enter the Procedure Instructions
- Click the blue check mark icon to Save
TIP: You can adjust the step order by selecting the up or down arrow
PM Setup
Now that you saved the instructions, you need to set up Preventive Maintenance.
- Select the PM Setup Tab
- Click the + icon to Add
- Mapp all PM Instructions to each Asset
- Click the blue check mark icon to Save
TIP: You can edit the schedule detail by clicking on the calendar icon
- Assign day(s) of the week the PM should be completed
- Assign a Start Date for the PM to commence
**Note – PM will automatically be rescheduled based on these selections and the frequency selected.**
Maintenance Schedule
You can see what Preventive Maintenance is scheduled by going to the Maintenance Schedule tab (in blue). You have two views available, a listed view and a calendar view. On the listed view, you can filter by day, week, or custom filter. On the calendar view, you can hover over the date and see which Preventive Maintenance is due that day.
You can view the PM Details or print a Work Order by selecting the four-square icon.
