CMMS - Configuration and Setup

The purpose of this guide is to walk through the steps of configuring your Spindle CMMS system, which is broken into 3 key areas; Adding/Importing Assets, Adding/Importing PM Instructions & PM Setup (which includes mapping PM Instructions to Assets, Scheduling and Assigning those PMs). The below Quick Navigation section is designed to provide a quick method for skipping directly to the content that is applicable to your desired outcome.

Adding / Importing Assets

Assets Overview
The purpose of this guide is to walk Maintenance Leaders through the steps of importing or adding Assets to their Spindle CMMS system. Follow the below steps to successfully add Assets to your facility in Spindle.
Navigate to CMMS - Admin - Assets
- Log into SpindleLIVE (NOTE: If you do not have SpindleLIVE access, please email us at support@spindlelive.com to request user credentials).
- From the left side-bar navigation menu, hover over CMMS and select Admin.
Select Facility and Assets
- Ensure your Facility is selected.
- Ensure the Assets tab is selected.
Importing multiple Assets
- Click on Import Assets
- Click on Download Import Template
- Open the Import Template Excel File
- Fill in the appropriate information
NOTE: SL Equipment and SL Equipment # are not required fields. These are intended solely for Spindle Members completing the import for customers. Leave blank if not a Spindle Team Member.
- Save the Template to your computer
- From the CMMS - Assets - Import page, click Drop excel file or click to upload
- Select the Import Template you just created and saved
- Click View Assets to ensure the import was successful
Adding Individual Assets
- Click on Add Asset
- Fill in the appropriate information
- Click the BLUE Create Icon
Mapping Assets to Spindle Login Equipment
NOTE: If the Spindle Login Equipment is not displayed in the drop-down list (in instructions below), contact us at support@spindlelive.com to have the appropriate equipment created. Spindle Team Members can follow these directions for configuring Equipment - CLICK HERE
- Select the Pencil Icon (Edit asset)
- Click the drop-down arrow under Spindle Login Equipment
- Select the appropriate Spindle Equipment to map the Asset to
- Click the Checkmark Icon (Save changes)
NOTE: While this functionality is available to customers, it is primarily done by a member of Spindle, as it's important to map Assets to the correct equipment. If you do not feel comfortable completing this, please submit a ticket to support@spindlelive.com for assistance.
Adding / Importing PM Instructions
PM Instructions Overview
The purpose of this guide is to walk through the steps of adding PM Instructions. There are two separate ways to add PMs. One is from the Corporate level, which is typically managed by one or more Corporate representatives, in order to ensure consistency across all PMs within the company. These permissions are granted through Spindle User Type, per the company's request. Therefore, for those that do not have permissions to add PM Instructions per this guide, please contact your system administrator and/or Spindle Support at support@spindlelive.com to receive more details. PMs can also be added at the Facility level, which is outlined in this guide as well.
Navigate to CMMS - Admin - PM Instructions
- Log into SpindleLIVE (NOTE: If you do not have SpindleLIVE access, please email us at support@spindlelive.com to request user credentials).
- From the left side-bar navigation menu, hover over CMMS and select Admin.
Adding Corporate PMs
If you do not have Corporate level permissions to add PMs for your corporation, please contact your system administrator, and if you believe you should be granted these permissions, please contact us at support@spindlelive.com. For those that do not have these permissions, skip to the next step Adding Facility PMs, in this guide (below).
- Ensure your Facility is selected.
- Ensure the Corporate Standards tab is selected.
Adding Facility PMs
This section is for those adding PMs at the Facility level, not the Corporate level. If you belong to a corporation that has Spindle CMMS installed, you should consult with your leadership and/or system administrator before adding any PMs at the Facility level.
- Ensure your Facility is selected.
- Ensure the PM Instructions tab is selected.
NOTE: Follow the below steps to add PM Instructions for either level - Facility or Corporate. The functionality is the same at both levels.
Add PM Instructions
- Click on Add PM Instructions
- Fill in the following fields:
- Name
- Frequency
- Target (minutes)
- Regions (if applicable)
- Fill in the Description field.
- Click the BLUE Checkmark to Save.
- Click on the Create Steps icon next to Procedure
- Type in the details of each PM Step
- Click the BLUE Checkmark to Save
Attachments
- To add attachments such as images, prints, schematics, etc., click on Attachments
- Click Add File
- Find the file you'd like to add and double-click it to attach
- Confirm that the PM Instructions were added
- Type in the details of each PM Step
Confirm that PM Instructions were created
- From the Corporate Standards tab confirm that the PM Instructions were added successfully.
Modifying PM Instructions
- Use the Up and Down Arrows to reorder the PM Instruction Steps
- Click the Attachments icon to add attachments to individual steps
- Click the Copy Steps icon to duplicate a step
- Click the Delete Step icon to delete a step
- Click the Add Step icon to add a step
CMMS - Balance CMMS Calendar
CMMS Calendar Balance Overview
The purpose of this article is to provide tips on how to properly balance your CMMS Calendar, so that PM scheduling is evenly balanced, without having all PMs due on same day of week/month of year. This step is designed primarily for start-up operations that have not yet mapped their PM Instructions to Assets. In that startup scenario, it's best to follow the below steps in this guide to create the excel balancing sheet, prior to mapping PM Instructions. There is no right or wrong way to balance your calendar, as it's entirely up to individual customer/corporation, however the below steps will walk you through one method that has proven successful here in Spindle.
Create Template Excel
The simplest way to balance is to create (or export) an excel document with all of your Assets listed. See below steps.
- Create Excel Document with list of Assets (broken down by Plant Area).
- Create Columns - Month of Year, Week of Month and Day of Week.
- Fill in Columns with appropriate information.
NOTE: There is no right or wrong way to "balance" the calendar, as it's solely up to you and/or your corporation. For purposes of this, we will separate Assets out by Plant Location when balancing.
- Perform the same steps for the remaining Assets - shown below.
NOTE: Ultimately, however you choose to balance your Maintenance Calendar is up to you. This is just an example of how to use an excel document to assist with ensuring balancing is complete.
*Now the your PM Scheduling is balanced on this excel document, you can begin completing the PM Setup portion, using this as a guide to ensure scheduling is balanced up front, instead of having to go back and rebalance after PM Setup has been completed.*

Overview
Once Assets and PM Instructions have been added (or imported), you can now begin mapping PM Instructions to each Asset. Follow the below steps in this guide to successfully complete your PM Setup.
Navigate to CMMS - Admin - PM Setup
- From the left side-bar navigation menu, hover over CMMS, then select Admin
- From the CMMS - Admin page, select the PM Setup tab
- Ensure your Facility is selected
PM Setup - Map PMs to Assets
- Click the + Symbol - Add PM icon to begin setup
- Click the drop-down option under PMs
- Scroll and find the appropriate PMs to map OR use the Search field to quickly find those PMs
- Click each respective PM Frequency (i.e. Annual, Semi-Annual, etc.) to map to the Asset
- Click anywhere outside of the PMs field as shown below
NOTE: Do not click Save yet, as there is other information that should be filled in prior to clicking Save.
PM Setup - Schedule PMs
- Starting with the lowest frequency PM (i.e. Annual), select the scheduled date by clicking Select Date
NOTE: This will auto-populate the same date for each of the remaining PM frequencies as shown below.
- To modify a Scheduled Date, click the date you wish to modify and select the new date, as shown below.
PM Setup - Assign PMs to Maintenance Personnel
- Use the Assigned to field in the top right portion of the PM Setup pop-up screen to assign all PM frequencies to one specific Maintenance Worker as shown below.
- To modify a PM Assignment, click the Maintenance Worker's name in the respective PM frequency's row, as shown below.
- Click Save when complete.
Confirm Balancing using CMMS - Calendar
- Navigate to the CMMS - Calendar Page in SpindleLIVE by hovering over CMMS on the left side-bar navigation menu, then selecting Calendar.
- Ensure your CMMS Calendar is evenly spread out so that all PMs aren't due on same day of week / week of month.
NOTE: Below is an example of a POORLY balanced CMMS Calendar. Do not be like this plant!! :)
