User Manual for Parts - Parts Inventory, Manufacturers, & Vendors
FollowParts & Inventory is part of our CMMS (Computerized Maintenance Management System) and allows you to manage your Parts Inventory. Once you input or import your parts, manufacturers, & vendors, you can begin to assign parts to Preventative Maintenance (PM) & Work Order (WO) tasks. After the PM or WO is completed, your parts will be deducted by the number indicated by your Maintenance Engineer. The article here will cover everything you need about Parts & Inventory. Our Quick Navigation is set up so you can jump around if you want specific answers.
SpindleLIVE can track equipment throughout your entire plant, and you can designate equipment to be labor only, maintenance only, or both. This allows you to track power tools, lifts, air conditioners, heating elements, etc.
The information has been put together strategically to help you get Parts & Inventory configured. In contrast, there are other ways of configuring Parts & Inventory and ending at the exact resolution. The below is the best process; as you reach each part of the article, the information you need will be available, given that you've completed prior sections. The other methods can create unnecessary jumping around the SpindleLIVE website resulting in a longer configuration time.
To take advantage of Parts at a minimum, you need to set up Parts Inventory. The setup instructions can be found here Parts Inventory. The other information found in Manufacturers & Vendors could be filled in later.
Note: At this time, Spindle cannot deduct parts during Emergency Maintenance. A communication plan will need to be developed so the Chief Engineer/Engineering Manager can manually remove parts used during Emergency Maintenance. Spindle already has plans to bring this functionality to Spindle later. Please see Updating Parts Inventory Counts on how to update quantities in SpindleLIVE. |

The Manufacturers List is needed for Parts and provides a central location for this information. One of the required fields for Parts is the Manufacturer. Please distinguish Manufacturers from Vendors; while Manufacturers can be Vendors, there is a distinctive difference between both.
- From the left navigation bar on SpindleLIVE, click CMMS, then click Parts.

Here, you will have 3 views, and for now, click Manufacturers.
- Here is where you will find your Manufacturers List, and you can add and remove Manufacturers & Manufacturer Contacts.
Add a Manufacturer
We'll talk about the steps of adding a manufacturer. You could add Manufacturers while adding Parts; however, you will still need to return to the Manufacturer's List to enter the manufacturer details and contacts. The process of entering Manufacturers while entering Parts is discussed later under Parts Inventory.

- To access your Manufacturers hover your mouse over CMMS, click on Parts, and once your information loads, click the Manufacturers tab at the top of the page.
- Here is where you'll find your list of Manufacturers you do business with, including contacts with each. We can talk about how you can edit your Manufacturers & their Contacts later. Click Add a Manufacturer, located on the right of SpindleLIVE.
- A box will appear to input their Name, Address, City, State, and Zip Code. Just so you know – the only required information here is the Manufacturer's Name, and all other information is optional at your discretion.
- Click Save. You'll see that the new Manufacturer has been added to your list.
- To access your Manufacturers hover your mouse over CMMS, click on Parts, and once your information loads, click the Manufacturers tab at the top of the page.
Primary Contact Details for Manufacturer
After adding a Manufacturer to SpindleLIVE, the Primary Contact & Primary Contact Phone columns are automatically empty. SpindleLIVE will display information based on the Primary Contact with your Manufacturer Contacts. For assistance with adding Manufacturer Contacts, see Add a Manufacturer Contact.
Existing Manufacturer: Edit or Remove a Manufacturer
It will be necessary over time to make edits to Manufacturer information, including possibly removing their details from your SpindleLIVE. SpindleLIVE provides this functionality at the facility level, as someone at your facility added any Manufacturers listed in your system. It does not contain Manufacturers from other facilities or a corporate level. We assume you know how to access your Manufacturers List; if you need help accessing it, please see Manufacturers List.
Warning: When deleting manufacturers, all contacts will be deleted with the manufacturer. After confirming your intended deletion request, there is no undo functionality, and you should consider capturing any contact details before deleting the manufacturer. |

Delete Manufacturer
- Selecting Edit Manufacturer will provide you with a box containing the Manufacturer's information. Here you can make any changes and click Save to finalize your changes. You can take a look at Adding a Manufacturer for more details. Selecting Delete Manufacturer will provide you with a confirmation box to confirm your deletion. Deletions are permanent with no undo functionality.

Add a Manufacturer Contact
Contacts are always our best assets at Manufacturers & Vendors. Those individuals you rely on to handle billing issues, equipment issues, parts issues, or the favors that help get you what you need quicker! SpindleLIVE allows you to add all these contacts into one central location. You would have needed to add the Manufacturer either through the Adding Manufacturer process or while Adding Parts. Assuming you've completed one of those steps, this is how we can add contacts associated with a manufacturer.

In the far right column of your Manufacturers List, you will see a 4 Square icon. This icon will provide a menu with options; select Add Manufacturer Contact.

A box will appear to input their Name, Phone, Email, Address, City, State, Zip Code, and an option in the top right for the Primary Contact. SpindleLIVE will allow you to have multiple Primary Contacts associated with a Manufacturer. Just so you know – the only required information here is the Contact's Name, and all other information is optional.
Note: When adding or editing contact details, you can mark the contact as Primary. Keeping a Contact as Primary will populate the Primary Contact & Primary Contact Phone based on this Contact setting. For editing contacts, please take a look at Primary Contact Details for Manufacturer.
- Click Save. You'll see that the new Manufacturer Contact has been added just below the Manufacturer. We are utilizing the plus or minus sign to expand or collapse details associated with this Manufacturuer.

Existing Contacts at Manufacturer: Edit or Remove a Contact
You can manage your contacts with your Manufacturers, similar to managing your Manufacturers. SpindleLIVE provides this functionality at the facility level, as someone at your facility added any Contact associated with a Manufacturer in your SpindleLIVE. It does not contain Contacts with Manufacturers from other facilities or at a corporate level. We assume you know how to access your Manufacturers List & creating a new contact; if you need help, please see Manufacturers List or Adding a Manufacturer Contact.

Click the plus sign to expand details associated with the Manufacturuer.
Note: If a plus sign is not present, it indicates no Contacts exist with this Manufacturer. Please feel free to review Adding a Manufacturer Contact for help on adding contacts.
- Once the details are expanded, you will see all your contacts with this manufacturer. On the far right of your contact, you will see 2 icons. One of the icons is a Pencil , and the other is a Trash Can . Use the Pencil icon to edit the contact details or the Trash Can to remove the contact. When removing Contact details, SpindleLIVE will provide you with a confirmation box. After clicking Save on this confirmation box, the deletion is permanent with no undo functionality.

Vendors
The Vendor List is needed for Parts and provides a central location for this information. Unlike Manufacturers, Vendors do not become a required field within SpindleLIVE. The information, however, can be tagged to your part, so when reordering, all the information needed for the Vendor, including part numbers, is easily accessible.
The Spindle site can import Vendors & Parts directly from a Microsoft Excel file. I want to let you know that you will need to use and download the Import Template Excel file from SpindleLIVE. The downloaded file is specific to SpindleLIVE and will be the only means of importing this information into SpindleLIVE. More information on importing Vendors is found in Importing Your Vendors.

Importing Your Vendors
When working with Vendors in SpindleLIVE, we have provided you with 2 different methods of loading or adding Vendors and their Contacts. The first, as discussed in this section, is the ability to Import your Vendors with a Microsoft Excel file. As discussed in the section Adding Vendors, you can add them directly into SpindleLIVE.
Importing your Vendors works out great for individuals who may already have the information computerized but requires basic Excel skills. You can use both methods at any time. However, we've found Adding Vendors to be the most user-friendly method.

- Here is where you'll find your list of Vendors you do business with, including contacts with each. We can talk about how you can edit your Vendors & their Contacts later in Existing Vendor: Edit or Remove a Vendor or Existing Vendor Contacts: Edit or Remove a Contact.
- Click the Gear on the far right, then click Import Vendors to import with a Microsoft Excel file. Your Excel file columns need to be in a specific order, and we've provided you the ability to Download Import Template. If you already have this information in an Excel file, we suggest you make a copy on your computer. You can then modify the file to align with the columns listed on the SpindleLIVE Import Vendors & Contacts page and import it. If you have any doubts, we recommend downloading this template or seeing the section Adding Vendors.

Once you are ready to Import Vendors from the Excel file, you can drag & drop or click to upload the file. Clicking to upload the file will allow you to browse to the file. If you are importing contacts associated with your Vendors, the Vendor name needs to be repeated on each line. If you don't do this step, it will be indicated to SpindleLIVE not to import those Contacts.
Warning: SpindleLIVE will not prevent you from importing vendors multiple times. The option is provided so that you can fine-tune your list. Please remember that during an import, if the information does not match your file and SpindleLVE, SpindleLive assumes it to be a new Vendor or Vendor Contact.

Add a Vendor
We'll talk about the steps of adding a vendor. Unlike Manufacturers, this is the only area a Vendor can be added. Later in Parts Inventory, we discuss how all this information comes together into 1 page of data.

Primary Contact Details for Vendor
After adding a Vendor to SpindleLIVE, the Primary Contact & Primary Contact Phone columns are automatically empty. SpindleLIVE doesn't have any fields to input Vendor Contact details, and SpindleLIVE will display information based on the Primary Contact with your Vendor Contacts. If you need help adding Vendor Contacts, please take a look at Add a Contact to a Vendor.
Existing Vendor: Edit or Remove a Vendor

Parts Inventory
Parts can be accessed from the CMMS Menu located in the Left Navigation bar in SpindleLIVE. You will need to compile a list of all parts, the quantity of each, manufacturers, and vendors, including part numbers and costs. SpindleLIVE does allow some of this information to be imported, but it will require specific formats discussed throughout each section.

As you progress through setting up Parts Inventory, you will need to select assets for a Part. If you need to add Equipment, please take a look at Adding equipment to Spindle. If you need to add the Asset, please take a look at CMMS - Adding Assets. Later, when SpindleLIVE adds the ability for Parts Inventory control to be deducted during Emergency Maintenance tasks, selecting the Asset(s) on Parts will become critical. |
Importing Parts
When working with Parts in SpindeLIVE, we have provided you with 2 different methods of loading or adding Parts. The first, as discussed in this section, is the ability to Import your Parts with a Microsoft Excel file. The next method, as discussed in the section Add a Part, allows you to add them directly into SpindleLIVE.
Importing your Parts works great for individuals with computerized information, such as a Microsoft Excel file, but it will require you to have basic Excel skills. You can use both methods at any time.
Caution: While you have the ability to import parts, we do not recommend simply loading a file of "available" parts, such as a vendor's electronic catalog. You will minimize the true abilities as you and your team need to scroll through the catalog for part selections required during each type of incident. Plus, the confusion with similar part names for different manufacturer equipment. Clean-up would require deleting each part 1-by-1 in SpindleLIVE. |

Add a Part
Importing your Parts is intended to be used once to aid in setting everything up. Once the setup is completed, adding new parts not present in the stockroom at the setup time will become necessary. Here we cover adding parts and later discuss part management.

- To access your Vendors hover your mouse over CMMS, click on Parts, and once your information loads, click the Parts Inventory tab at the top of the page if not already selected.
- Here is where you'll find your list of Parts that you have had or currently have in your stockroom. Click Add Part, located on the right of SpindleLIVE.

A box will appear for inputting the following information. Items in red are required, and items in blue are optional fields.
- Manufacturer Name*
- Manufacturer Part Number*
- Manufacturer Cost*
- Assets
- Part Name*
- Part Description
- Part Category
- Part Location
- Part Cost Center
- On Hand (quantity)
- Min Qty (Minimum Quantity)
- Max Qty (Maximum Quantity)

Later, when Spindle adds the ability for Parts Inventory control to be deducted during Emergency Maintenance tasks, selecting the Asset(s) on Parts will become critical.

Existing Part: Edit Part Details or Remove a Part
Over time, modifications to Part information will be necessary, such as fluctuations in cost or when receiving new parts. SpindleLIVE provides this functionality at the facility level, as someone at your facility added any Parts listed. SpindleLIVE does have the ability to track parts across your entire corporation.

Adding or Removing an Asset to/from a Part
To manage the Assets associated with a Part, we will need to Edit Part. This is required for Parts to be displayed during Emergency Maintenance incidents. Although, as stated at the beginning of this article, at this time, Spindle cannot deduct parts during Emergency Maintenance. A communication plan will need to be developed so the Chief Engineer/Engineering Manager can manually remove parts used during Emergency Maintenance. Spindle already has plans to bring this functionality to Spindle at a later time. In theory, your Maintenance Engineer may enter a Work Order Request with a title indicating the parts used. This could be approved and assigned for the Maintenance Engineer to complete for tracking and inventory control purposes. Please see Updating Parts Inventory Counts on how to update quantities in SpindleLIVE.

Delete Part
- Click on the Assets drop-down menu to make selections. You'll notice checkmarks next to each Asset as you make selection changes. Assets with a checkmark are associated with this Part. Clicking an Asset with a checkmark will deselect the Asset from this Part.

Adding, Viewing, or Removing a Vendor to/from a Part
What do you do when you need a part critical to production? We can view available Parts throughout your entire Facility and your Corporation. What happens when your primary supplier indicates a 6-week delivery on a critical production part? Here, you'll be able to assign or unassign Vendors, including all relevant information you've inputted. Giving you a one-stop view of established Vendors.
Removing Vendors from a Part does not remove your Vendor from SpindleLIVE or any other Part. If you're no longer doing business with this Vendor, please take a look at Existing Vendor: Edit or Remove a Vendor. To add new Vendors, please take a look at Add a Vendor. |

Your Parts Inventory List Options
Once all the information has been compiled, it will become easier to manage moving forward. SpindleLIVE provides you with Filter options for Parts Inventory. The filters provide the ability to control what information you'd like to see. The options in each filter are determined by the SpindleLIVE configurations for your specific plant.
Tip: Each column header shown can be clicked to sort in ascending or descending order based on your chosen column. |

- Search: Provides the ability to look for specific parts based on Manufacturer Name, Manufacturer Part Number, & Part Name. Once you begin to type, SpindleLIVE will begin to consolidate the information. No other columns are searchable.
- Inventory View: By default, Facility will be selected. While viewing Parts by Facility will only show Parts, someone at your Facility added. While viewing the Inventory View by Corporate will allow you to see Parts at other locations within your corporation. Each corporation will have its process for transferring Parts between locations, please continue to follow it. Below we'll talk about the intended process in SpindleLIVE so that you can include it in your process already established.

- Critical Spare: Selecting this to show Critical Spare Only will show Parts you've indicated as Critical Spare through Add a Part. A critical spare is a part that significantly threatens ongoing operations when it fails due to the difficulty of replacement. The threat could be financial, resulting from downtime and lost production. It could also be non-monetary, such as personal safety.
- On Hand Qty: This number is the total you have physically available.
- Displayed Columns: To modify which columns are shown, uncheck the ones you want to be removed. The setting is not remembered on the subsequential access of this page.
Parts Required
When you add Part(s) to a Preventative Maintenance or Work Order task, you can add needed or potentially needed Part(s). Once your Maintenance Engineer accesses that task, they will have the ability to verify & update the number of parts used, including zero if none are used. After completing a task, your Parts Inventory will update the number of parts used. To add Part(s) to Preventative Maintenance, please take a look at Add Parts to PMs (Preventative Maintenance). Or to add Part(s) to a Work Order during the approval process or after being approved, please take a look at Add Parts to Work Orders.
Parts Required allows you to forecast the Parts Required for existing upcoming Preventative Maintenance and Work Order tasks. It is located in CMMS, Details, and then Parts Required. You're provided a Date Picker with a few quick selections and the ability to use a custom date range. Allowing you to forecast the Parts Required for existing upcoming Preventative Maintenance and Work Order tasks.

- From the left navigation of SpindleLIVE, hover your mouse over CMMS, click on Details, then select Parts Required.
- You can change the default date in the Date Picker selector in the top left of SpindleLIVE. It will default to show the next 5 weeks beginning with the upcoming Sunday. Click any of the plus signs that will show further details.

Corporate Inventory
SpindleLIVE compiles all the Parts from all your facilities and displays them in one list. I am sure receiving parts from another plant isn't unheard of if you have multiple locations. Instead of emailing and calling other locations, we provide the information in 1 list, putting you directly in contact with the location. Only locations within your corporation will be viewable. Preventative Maintenance and Work Order tasks have the ability to have parts used while your Maintenance Engineer completes the task as usual.
We created a process that keeps the inventory control of parts at the facility that has the part.
Plant with Part: You will need to go ahead and access your Parts Inventory discussed here, Parts Inventory. You will need to Edit Part Details and simply deduct your On Hand Qty by the number shipped to the other location.
Plant Receiving Part: You'll need to go ahead and access your Parts Inventory discussed here, Parts Inventory. If the Part is already in your Parts Inventory, you can Edit Part Details and increase the On Hand Qty by the number received from another location. If not, you will need to Add the Part.
Add Parts to PMs (Preventative Maintenance)
Plants with CMMS can add parts used during a PM (Work Orders also discussed here, Add Parts to Work Orders). For your Maintenance Engineers to have this ability, you must configure the PM Instructions at the facility level. This is not a corporate-only function. You would have had to, at a minimum complete this step Add a Part.
Adding parts to a PM can be added with a default of 0 if needed, as it is possible that not all parts will always be used during a PM. Your Maintenance Engineer will have the ability to increase or even decrease the number used. If your Maintenance Engineer forgets to verify the parts used, you will have to edit Part Details in SpindleLIVE, you cannot edit a completed PM.

- Hover your mouse over CMMS and click on Admin. At the top of this page, you will have 3 - 5 options, click PM Instructions.
- Locate the PM Instruction(s), click the plus sign , Add Part , and select the Part. Repeat this step for each Part you need to be attached to this PM. Don't forget to perform the steps needed on the other frequencies. Maintenance Engineers can't select Parts from their Spindle Maintenance Screens if this step is not completed on each applicable PM. Add Parts to Work Orders
Maintenance Engineers & Plant Leadership have the ability to enter Work Orders that require the Maintenance Manager / Chief Engineer to approve or deny. During the approval process or anytime before the Work Order is completed, you will have the ability to assign parts needed for this Work Order. Your Maintenance Engineers will have the ability to increase or decrease the number used. You would have had to, at a minimum complete this step Add a Part.
Work Orders can be entered from SpindleLIVE, the SpindleLIVE Mobile App, or any Spindle Login Stations as discussed in Creating a Work Order Request on a Login Station or SpindleLIVE.

Accessing Parts on Spindle Login Stations
As stated at the beginning of this article, at this time, Spindle cannot deduct parts during Emergency Maintenance. A communication plan will need to be developed so the Chief Engineer/Engineering Manager can manually remove parts used during Emergency Maintenance. Spindle already has plans to bring this functionality to Spindle at a later time. In theory, your Maintenance Engineer may enter a Work Order Request with a title indicating the parts used. This could be approved and assigned for the Maintenance Engineer to complete for tracking and inventory control purposes. You must have completed the following sections for Parts to be displayed during a Preventative Maintenance or Work Order task.

Log into your Spindle Login Station as normal. From your Maintenance Equipment screen on your Spindle Login Station, access your Preventative Maintenance & Work Order tasks. They can be accessed by selecting the wrench & screwdriver icon .
Spindle Users with Management access will be required to toggle between Worker Equipment & Maintenance Equipment.

When you begin work on one of these tasks, an area for Parts will be seen as long as 2 of the 3 steps were completed above. Parts not set on a Work Order or Preventative Maintenance task will not be shown if not added through SpindleLIVE.
