Preventative Maintenance Scheduling Setup
FollowHow to Access and set up Maintenance Scheduling on SpindleLIVE?
Click on the Admin page on the top of the navigation bar. On the left-hand side, you should see a Maintenance Scheduling option.
Adding Assets
Click on the Add Asset icon on the right. Use the drop down or fill in the following information for all the assets at your facility.
- Manufacturer (Required)
- Equipment Type (Required)
- Make/Model of Asset (Required)
- Model Number (Required)
- Serial Number (Required)
- Ext Asset ID
- Year Made
- Spindle Login Equipment - select (Provide a Support Ticket with Spindle if the equipment is not listed to get added to list)
- When complete, click on the blue save icon
Preventive Maintenance Instructions (Corporate Standards and Facility Standards)
Once you have added all your facility assets, you need to add a Preventive Maintenance Instructions for each asset. Two options are available, Corporate Standard and Facility Standard. Corporate Standards give companies the availability to set up a corporate preventive maintenance library and distribute it across all facilities. With this feature, Spindle will not allow any changes to the instructions, frequency, or time to the Preventive Maintenance unless managers have authorization.
Facility Standards are set up at the individual facility and can include specialized machinery available only at that location.
Here is how to add a Preventive Maintenance Instruction to assets at a Facility.
Option 1 (Download from Corporate PM’s created):
- Go to the PM Instructions tab (in blue)
- Select the Corporate PMs View
- Click and download all Preventive Maintenance Instructions that apply to the facility
Option 2 (Creation of PM’s at the Facility Level):
- Go to the PM Instructions tab (in blue) and click on the Add PM Instructions icon
- Name (Spindle can help with standardization of this field)
- Frequency (Daily, Weekly, Quarterly, Semi-Annually, Annual, etc.)
- Target (Total man minutes to complete PM)
- Corporate Standard (A check mark will show if the PM was downloaded from the Corporate Standards library)
- Go to the edit icon next to the Description title and enter the overview of the PM, when complete, click on the blue save icon.

- Enter the procedural steps. There are two ways to do this based on whether the operator needs to perform the PM and say its complete or the requirement for each procedural step to be checked of is required.
- Option 1 (1 step requirement to check that PM is complete)
- Click on the + sign next to Procedural Steps
- Insert the requirements in step 1 text box and click save with the blue check box.
- Option 2 (Each step is required to check that the PM step is complete)
- Click on the + sign next to Procedural Steps
- Insert the requirements in step 1 text box and click save with the blue check
- Continue inserting the procedural steps in a separate step.
- Option 1 (1 step requirement to check that PM is complete)
8. You can adjust the step order by selecting the up or down arrow
PM Setup
Now that you saved the instructions, you need to set up Preventive Maintenance.
- Go to the PM Setup Tab (in blue) and add a PM Instructions to each asset by using the add icon
- When all the PM Instructions are mapped to each asset, click on the blue save icon (Spindle will automatically populate the rest of the information)
You can edit the schedule detail by clicking on the calendar icon
- Assign day(s) of the week the PM should be completed
- Assign a Start Date for the PM to commence
**Note – PM will automatically be rescheduled based on these selections and the frequency selected.**
Maintenance Schedule
You can see what Preventive Maintenance is scheduled by going to the Maintenance Schedule tab (in blue). You have two views available, a listed view and a calendar view. On the listed view, you can filter by day, week, or custom filter. On the calendar view, you can hover over the date and see which Preventive Maintenance is due that day.
You can view the PM Details or print a Work Order by selecting the four-square icon.
